Job Description
We are seeking an organized and efficient Engineering Secretary to join our team in Central Jakarta, Indonesia. The ideal candidate will provide administrative support to our engineering department, ensuring smooth operations and effective communication within the team and with external stakeholders.
- Manage and maintain engineering department schedules, including meetings, appointments, and project timelines
- Prepare and edit correspondence, reports, and presentations for the engineering team
- Organize and maintain digital and physical filing systems for engineering documents and records
- Coordinate travel arrangements and expense reports for engineering staff
- Act as a liaison between the engineering department and other departments or external partners
- Handle phone calls, emails, and other communications on behalf of the engineering team
- Assist in the preparation of engineering project proposals and documentation
- Coordinate the procurement of office supplies and equipment for the engineering department
- Take minutes during meetings and distribute them to relevant team members
- Assist with the onboarding process for new engineering staff members
Qualifications
- High school diploma or equivalent required; Associate's degree in Business Administration or related field preferred
- 2-3 years of experience in an administrative role, preferably in an engineering or technical environment
- Strong organizational skills and ability to prioritize tasks effectively
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent written and verbal communication skills in English
- Attention to detail and accuracy in work
- Demonstrated time management skills and ability to multitask in a fast-paced environment
- Basic understanding of engineering terminology and concepts
- Ability to maintain confidentiality and handle sensitive information professionally
- Strong interpersonal skills and ability to work collaboratively with diverse teams
- Adaptability and willingness to learn new skills and technologies as needed
