Deskripsi Lowongan Kerja Office Manager Jakarta TerbaruThe Office Manager is responsible for ensuring the smooth functioning of the office’s operation; encompassing office administration, human resource, legal registration process, information technology, logistics and procurement, and facilities management.
Reporting to the Country Director, the Office Manager have its roles in full spectrum of human resources and office management responsibilities for Yayasan Indonesia. The OM will assist in establishing a strong control in its operations and management systems in order for the organization to have the capability to be more accountable and effective.Administrative and operations responsibilities
Managing and supervising the day-to-day administrative operation and office activities of Yayasan IPAS Indonesia office.
Ensuring that that policy and procedures documents relating to administrative function are up to date and that all staff understand its application,
Establishing and enforcing the administrative control mechanisms within the office. This includes implementing, administering and managing administrative operation of Yayasan ’ office by maintaining optimum efficiency within the budget,
Ensuring the latest versions of all-important documents including projects documents are placed and stored in Luna;
Oversee procurement management for Yayasan Indonesia in line with the organisation policies and SOPs.
Ensure Yayasan Indonesia equipment, capital asset, property (building leased), and vehicles are maintained and used in most efficient, appropriate management and utilization.
Manage the whole IT system of Yayasan IPAS Indonesia
Ensure good quality and efficient IT maintenance and support is being provided – coordinating and monitoring the IT consultantHuman Resources responsibilities
Oversees the Yayasan Indonesia human resource planning, staff budgeting, recruitment, employee onboarding and post orientation processes.
Oversee various human resource plans and procedures for Yayasan IPAS Indonesia, by ensuring in the development and implementation of employee handbook and personnel policies and procedures
Works with Country Director, Senior Advisors/Managers in reference to manpower planning for program implementation, employee support, performance management and learning and development
Maintain life/health insurance coverage;
Assist in coordinating training activities for staff in line with human resource development strategy;
Performs benefits administration to include claims resolution, change reporting, approving invoices for payment and communicating benefit information to employees
Handles employee relations counselling and exit interviewing.
Recommends new approaches, policies and procedures to effect continual improvements in efficiency of the department and services performed
Maintains compliance with national and local regulations concerning employmentOther
Manages relationships with legal counsel regarding legal status of the Yayasan IPAS Indonesia, and matters related to labour laws and labour relations
Perform other related duties as requiredRequirements
Bachelor's Degree in Administration, Management, or other relevant discipline
Minimum of 5 years of experience with proven track record and exposure to administrative processes and human resources management
Experience supporting HR function in an INGO and have working knowledge of country labour laws
Experience working in a non-profit organization will be an advantage
Good command in English (reading, speaking and writing)
Experience to work in a multi‐cultural setting
Ability to work under minimum supervision and under pressure
High integrity and attention to details
Must possess strong writing, computer and presentation skillsKnowledge & Skills
Works independently and in efficient manner;
Articulate, professional and able to communicate in a clear, positive manner with clients and staff
Excellent oral and written communication skills
